Administrative Assistant Job Description 

eta Is looking for a versatile and highly motivated Administrative Assistant to perform clerical duties for the Executive Director. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of the ED. You may also be required to make travel arrangements and assist with other duties when required.

To ensure success as an Administrative Assistant, you should exhibit excellent organizational skills and demonstrable experience in an administrative role. Accomplished Administrative assistants are intuitive to the needs of the ED and work autonomously to provide customized administrative support.

 

Administrative Assistant Responsibilities:

  • Reporting to the ED and performing secretarial and administrative duties.

  • Typing, formatting, and editing reports, documents, and presentations.

  • Entering data, maintaining databases, and keeping records.

  • Interacting with internal Staff, answering calls, and making travel arrangements.

  • Managing internal and external correspondence on behalf of the ED.

  • Scheduling appointments, maintaining an events calendar, and sending reminders.

  • Copying, scanning, and faxing documents, as well as taking notes.

  • Preparing facilities for scheduled events and arranging refreshments, if required

  • Ordering office supplies and replacements, as well as managing mail and courier services.

  • Observing best business practices and etiquette.

 

Administrative Assistant Requirements:

  • High school diploma or GED.

  • Certification in secretarial work, office administration, or related training.

  • 1-2 years of experience as an Administrative Assistant would be advantageous.

  • Extensive experience in creating documents and spreadsheets, using Microsoft Word, Excel, and PowerPoint. Experience with Google meets, Google Docs, Google Calendar, Google Sheets & Zoom. QuickBooks is a plus.

  • Advanced typing, note-taking, record-keeping, and organizational skills.

  • Ability to manage internal and external correspondence.

  • Working knowledge of printers, copiers, scanners, and fax machines.

  • Proficiency in appointment scheduling software using Google Calendar. 

  • Excellent written and verbal communication skills.

  • Exceptional administrative and organizational skills.

Patron Manager Job Description 

eta Is seeking a versatile and highly motivated Patron Manager to perform duties related to creating and managing ticketing and check-in systems for several types events. In this role, you will be responsible for managing event attendance and creating attendance and revenue tracking reports. You will review and manage daily social media posts and communications. You will need to have a flexible schedule; some events take place after close of business.

This position requires a highly motivated individual who is well organized and able to stay focused until tasks are completed.

 

Patron Manager’s Responsibilities:

  • Reports to the ED and performs Patron Manager duties.

  • Entering data, maintaining databases, creating reports, and keeping records.

  • Interacting with internal Staff, answering calls, and participating in staff meetings.

  • Managing internal and external job-related correspondence on behalf of eta. 

  • Maintaining the events calendar and working with internal staff to avoid conflicts.

  • Preparing facilities for scheduled events and arranging refreshments, if required

  • Observing best business practices and etiquette.

 

Patron Manager Requirements:

  • High school diploma or GED.

  • Knowledge and experience using Microsoft Office Applications.

  • Basic knowledge of database structures and data manipulation.

  • Extensive experience in creating documents and spreadsheets, using Microsoft Word, Excel, and PowerPoint. Experience with Google meets, Google Docs, Google Calendar, Google Sheets & Zoom. QuickBooks is a plus.

  • Advanced typing, note-taking, record-keeping, and organizational skills.

  • Build and publish season inventory and strategic discounts.

  • Create season reports:  Door List, Group Sales, Donations, Patron Subscriptions, etc.

  • Provide customer service including individual ticket sales, group sales and general inquiries.

  • Provide data for grants, development, annual brochure, and season production statistics.

  • Prepare monthly donation reports for the Executive Director 

  • Oversee Box Office operations and concession activities.

  • Maintain website content.

  •  Draft and send out production eBlasts, social media posts, and text notifications to patrons.
